Job description

Our client, a respected organisation within the automotive and fleet sector, is seeking a detail-oriented Invoicing & Administration Coordinator to join their busy operations team on a temporary basis. This full-time, two-month role offers hybrid working and plays a key part in ensuring the smooth processing of vehicle invoicing, data accuracy, and compliance reporting.

 

You'll be responsible for managing daily invoicing workflows, supporting process automation, and handling a range of administrative and reporting duties across remarketing and vehicle sales. The ideal candidate will enjoy working with data, thrive on accuracy, and be confident managing multiple priorities in a fast-paced environment.

 

Key Responsibilities

  • Build and prepare invoicing files for automated processing via UiPath.

  • Accurately extract and input data from remittance advice documents.

  • Update vehicle status within internal systems and liaise with IT and remarketing teams to resolve processing issues.

  • Verify invoice accuracy against remittance details and submit to finance.

  • Manually process smaller or more complex transactions, including driver sales.

  • Manage CAP HPI clearances and provide vehicle settlement figures.

  • Raise invoices for total losses and vehicle rejections.

  • Supply purchase pricing information to customers and dealers.

  • Produce monthly pricing matrices and sales data files.

  • Oversee V5 administration and ensure data accuracy across vehicle records.

  • Compile operational and compliance reports, including month-end summaries and exception reports.

  • Support with general ad hoc tasks and problem resolution relating to vehicle information and documentation.

 

About You

  • Proven administrative experience

  • Strong attention to detail and data accuracy.

  • Confident using Excel and working with large data sets.

  • Comfortable liaising with multiple internal teams (finance, IT, remarketing, compliance).

  • Organised, proactive, and able to work to tight deadlines.
