Job description

We are currently working in partnership with a prestigious art institution based in West Central London, who are recruiting for a Operations Manager on a 3 month fixed term or temporary contract.

The position is due to start immediately, with the potential to go full time. The salary on offer is £46,473 per annum and the daily rate is negotiable dependent on experience

Duties will include (but are not limited to):

  • Supervise the Reception and Administration team, ensuring a professional and welcoming experience for all visitors to the Gallery offices and the timely, high-quality delivery of administrative tasks
  • Coordinate service contracts, including waste disposal, cleaning, staff catering, and pest control, ensuring services are delivered efficiently and meet required standards
  • Carry out routine checks of both front-of-house and back-of-house areas to maintain safety, cleanliness, and operational readiness
  • Ensure office spaces are well-presented, with appropriate maintenance of facilities, furniture, and general resources to support a high standard of environment
  • Support the effective running of the Helpdesk service, assisting with logging, tracking, and resolving facilities-related queries and issues
  • Assist managers in the planning and coordination of crowd control and queue management strategies, particularly during high-traffic periods or special events
  • Provide reception cover as required, maintaining a courteous and professional front-of-house service during staff absences or busy periods

Experience required:

  • Experience of dealing with a wide range of stakeholders and contract management experience
  • Demonstrable experience in upholding service levels
  • Ability to manage budgets
  • Ability to communicate effectively and appropriately
  • Strong organisational skills
  • Ability to showcase a high level of administrative skills

Skills, knowledge and expertise required:

  • Have good attention to detail with regards to presentation
  • Provide good customer service to internal and external customers
  • Actively look for improvements to processes and procedures
